Job Overview: 

As the Assistant Manager of our apartment complex, you will collaborate closely with the Property Manager to oversee all facets of property management, emphasizing accountability and exceptional customer service. Your role will involve managing daily operations, enhancing resident relations, coordinating leasing activities, and overseeing maintenance to ensure the highest level of resident satisfaction, all while traveling between sites to provide coverage across multiple properties. 

Responsibilities: 

1. Accountability: 

  • Assist the Property Manager in maintaining accurate records of leasing transactions, rent payments, and maintenance requests. 
  • Ensure compliance with leasing policies, procedures, and regulations, addressing any issues promptly and effectively. 
  • Support the Property Manager in developing and implementing strategies to achieve occupancy and revenue goals. 

2. Legendary Customer Service: 

  • Provide exceptional customer service to residents, prospective tenants, and vendors by addressing inquiries, concerns, and requests promptly and professionally. 
  • Assist in organizing resident events and activities to foster a sense of community and enhance resident satisfaction. 
  • Conduct regular follow-ups with residents to ensure their needs are met and issues are resolved to their satisfaction. 

3. Leasing and Marketing: 

  • Assist with leasing activities, including responding to inquiries, conducting property tours, and processing lease applications. 
  • Collaborate with the marketing team to develop and implement effective marketing strategies that attract prospective tenants and maintain high occupancy rates. 
  • Maintain up-to-date knowledge of market trends, competitor properties, and local demographics to inform leasing and marketing efforts. 

4. Administrative Support: 

  • Assist with administrative tasks such as lease preparation, lease renewals, move-in/move-out procedures, and resident correspondence. 
  • Manage resident files and records, ensuring accuracy and compliance with company policies and regulatory requirements. 
  • Prepare reports and analyze data related to leasing, occupancy, and financial performance to support decision-making. 

5. Team Collaboration: 

  • Collaborate with the maintenance team to ensure prompt and efficient resolution of maintenance issues and timely completion of work orders. 
  • Foster a collaborative and positive work environment by promoting teamwork, open communication, and a strong sense of accountability among staff members. 

6. Multi-Site Coverage: 

  • Travel between multiple properties as needed to provide coverage and support in the absence of the Property Manager or as operational needs arise. 
  • Maintain oversight of operations across different sites, ensuring consistency in service quality and adherence to company standards. 
  • Coordinate with local teams at each site to address immediate concerns and ensure smooth operational continuity.  

 

Qualifications: 

  • Bachelor's degree in business administration, real estate, hospitality, or a related field preferred. 
  • Minimum of 3 years of experience in property management, preferably in multifamily housing. 
  • Strong interpersonal and communication skills, with the ability to build rapport and establish positive relationships with residents, team members, and vendors.
  • Excellent organizational and time-management skills, with the ability to multitask and prioritize tasks effectively in a fast-paced environment. 
  • Proficiency in property management software (Yardi) and Microsoft Office suite. 
  • Availability to work flexible hours, including evenings and weekends, as needed.
