Job Summary:
The Leasing Agent plays a critical role in driving occupancy, supporting strong financial performance, and creating an exceptional resident experience. This role guides prospects through every step of the leasing journey, delivers high-quality customer service, maintains accurate documentation, and ensures compliance with Fair Housing and company standards. The position requires strong interpersonal skills, professionalism, flexibility, and a sales-focused approach to engaging prospects and converting leads into leases.
This is a multi-site position supporting properties located next to or near one another. The Leasing Agent will provide leasing support and coverage across assigned communities based on daily business needs, staffing needs, prospect traffic, and operational priorities.
Schedule: Monday–Friday, 9:00 AM–5:30 PM, with occasional Saturdays as needed.
Essential Functions: (Include but are not limited to):
Leasing & Sales
- Conduct all leasing activities, including tours, phone/email communication, and prospect follow-up.
- Achieve occupancy and leasing KPI targets, including closing ratio, traffic conversion, and resident retention.
- Explain lease terms, community policies, and pricing clearly and professionally.
- Ensure models, amenities, and office areas are maintained in show-ready condition.
Tenant Screening
- Process rental applications and screening results in accordance with established company policies and approval criteria.
Customer Service & Resident Relations
- Maintain an upbeat, welcoming, and solutions-oriented approach in all interactions.
- Build rapport with residents to support retention and reduce turnover.
- Assist in resolving resident concerns and escalate issues appropriately.
- Exhibit professionalism, empathy, and cultural awareness with diverse populations.
- Engage with local community resources, service providers, and partner organizations when appropriate to support resident needs.
Marketing & Outreach
- Support online marketing efforts, including posting/updating listings, managing photos, and responding to leads.
- Assist with social media engagement, resident referral campaigns, signage, and outreach marketing strategies.
- Highlight community features, amenities, and value propositions tailored to the target demographic.
Rent Collection Support
- Support rent collection processes by assisting with follow-up communication related to delinquencies.
- Maintain professionalism and compliance in all payment-related conversations.
Maintenance Coordination
- Enter, track, and follow up on maintenance requests through the property management system.
- Partner with the maintenance team to ensure timely communication and issue resolution.
Conflict Resolution
- Handle difficult resident situations with diplomacy, patience, and professionalism.
- De-escalate issues effectively and involve management or law enforcement only when necessary to ensure safety.
Documentation & Compliance
- Maintain accurate and organized lease files, notices, communication logs, and resident records.
- Support move-in and move-out processes, including walkthroughs and documentation.
- Ensure compliance with Fair Housing, state/local landlord-tenant laws, and internal policies.
Qualifications:
- High school diploma or GED required; additional education preferred.
- Minimum 2 years of leasing, sales, or relevant customer service experience; multifamily housing experience preferred.
- Strong verbal and written communication skills with the ability to build rapport with diverse prospects, residents, and onsite teams.
- Strong organizational skills with attention to detail and accuracy in documentation.
- Ability to remain calm, professional, and solutions-focused under pressure.
- Knowledge of Fair Housing requirements preferred; ability to learn and consistently follow applicable requirements and company policies.
- Proficiency with property management software and Microsoft Office, with the ability to learn new systems.
- Work independently while collaborating effectively with onsite teams across assigned communities.
- Valid driver's license, proof of auto insurance, and reliable transportation required for travel between assigned properties.
- Remain flexible and adapt to changing priorities, prospect traffic, and business needs across assigned properties.
- Provide coverage at assigned neighboring communities based on operational and staffing needs.
Physical Requirements:
- Frequently walk throughout assigned apartment communities, including leasing offices, apartment units, amenities, parking areas, and grounds.
- Climb stairs and navigate multi-story buildings as part of daily leasing and property responsibilities.
- Regularly sit, stand, bend, kneel, stoop, and reach throughout the workday.
- Lift, carry, push, or pull up to 25 pounds, including files, packages, signage, and supplies.
- Operate standard office equipment, including computers, phones, printers, and scanners.
- Work both indoors and outdoors across assigned communities, with occasional exposure to varying weather conditions.
