Part-Time Front Desk Agent – Extended Stay

Job Summary:
The Part-Time Front Desk Agent plays an important role in the day-to-day operations of one of our smaller extended-stay properties. This hands-on position serves as a primary point of contact for guests and is responsible for providing friendly, professional service while supporting daily front desk and property operations.
Responsibilities include assisting with guest check-ins and check-outs, managing reservations, processing payments, responding to guest questions and concerns, maintaining accurate records, and helping ensure the front desk and property remain welcoming and organized.
Because this is a smaller property, the Front Desk Agent should be comfortable taking a hands-on approach and assisting with a variety of day-to-day operational needs as they arise. Success in this role requires reliability, strong customer service and communication skills, attention to detail, and the ability to work independently while providing a positive experience for our extended-stay guests.
Essential Functions: (Include but are not limited to)
Accountability:
- Handle all aspects of guest check-in and check-out procedures with precision and accuracy.
- Manage reservations, cancellations, and modifications ensuring all records are meticulously maintained.
- Handle cash transactions and always maintain a balanced cash drawer.
- Ensure all guest requests and inquiries are addressed promptly and effectively.
- Maintain a clean and organized front desk area, including stocking supplies and informational materials.
- Support the day-to-day needs of the property beyond traditional front desk responsibilities as needed.
- Maintain awareness of activity throughout the property and promptly communicate maintenance, safety, guest, or operational concerns to management.
- Work independently during assigned shifts while following established company policies and procedures.
- Communicate effectively with the General Manager, maintenance team, and other team members regarding guest and property needs.
Legendary Customer Service:
- Greet guests with a warm and friendly attitude, making them feel welcome and valued from the moment they arrive.
- Anticipate guest needs and provide personalized recommendations and assistance to enhance their stay.
- Handle guest complaints and concerns professionally and efficiently, striving to resolve issues to the guest's satisfaction.
- Demonstrate empathy, patience, and resilience when dealing with challenging guests.
- Go above and beyond to create memorable experiences that exceed guest expectations.
Dealing with Difficult Situations:
- Remain calm and composed under pressure, maintaining professionalism and composure in challenging situations.
- Exercise discretion and tact when addressing sensitive issues or difficult guests.
- Collaborate with other team members to find solutions and ensure a positive outcome.
- Follow established protocols and procedures for handling emergencies or security incidents.
Qualifications:
- High school diploma or equivalent
- Previous hotel front desk, hospitality, or customer-facing experience (highly preferred)
- Strong customer service and communication skills (verbal and written)
- Basic computer skills (email, data entry, Microsoft Office or Google Workspace)
- Familiarity with hotel property management systems (PMS) or similar software preferred
- Comfortable handling cash and credit card transactions
- Ability to multitask in a fast-paced environment
- Reliability and punctuality
- Ability to work a part-time schedule, which may include weekdays, evenings, weekends, and holidays based on property needs
- Ability to stand for extended periods
- Experience with social media marketing (highly preferred)
- Reliable transportation to and from the assigned property is required
Physical Requirements:
- Regularly stand, walk, and move throughout the property for extended periods.
- Sit, type, and work on a computer for prolonged periods as needed.
- Occasionally lift, carry, push, or pull up to 25 pounds.
- Bend, stoop, kneel, and reach when stocking supplies or assisting guests.
- Communicate clearly and effectively in person and over the phone.
- Work effectively in an environment with frequent interruptions and multiple priorities.
- Respond quickly and appropriately to emergency or security situations.
- Perform duties primarily indoors, with occasional movement throughout the property and surrounding areas as needed
